Why most warehouse reporting fails
Warehouses usually have plenty of data and little visibility. Numbers live in exports that someone copies into a spreadsheet, tidies up and circulates days later. By then, the late order has already shipped late and the expired lot has already been picked.
The second failure is volume. A dashboard with forty charts tells a supervisor nothing about what to do next. What helps is a short list of things that need a decision now, and a few measures reviewed on a steady rhythm.
Alerts and the exceptions workspace
Alerts cover four kinds of problem: work that is late, stock that is expiring, something that failed, and anything waiting on a decision. They arrive by email and in the in-app inbox, so they reach people whether or not they are logged in.
The exceptions workspace collects the items that need a person, such as receiving variances waiting for approval or count differences to accept or recount. It is the first screen to check at the start of a shift. Stock nearing expiry depends on accurate dates, which lot and expiry tracking captures at receiving.
KPI reports in NextStock
The KPI reports cover the measures most warehouses review weekly. Each one is calculated from the same records the floor creates, so there is no separate data entry.

Search, saved views and activity history
Not every question needs a report. Operational search finds records such as orders and SKUs from one search box. Saved views keep the filters you use every day, such as "orders due today for client A" or "stock in quarantine", one click away.
Every record has an activity feed showing who did what and when. When a customer asks why an order shipped short, the answer is on the order, not in someone's memory. Bounded CSV downloads cover the cases where you need the rows in a spreadsheet.
Setting up reports that people use
Start small. Pick three measures that match your current problem, not all six. A distributor fighting short shipments might choose fill rate, on-time ship and count accuracy. Schedule them weekly to the person who can change the outcome, not to a shared inbox.
Decide who owns each kind of alert. Expiry alerts belong with whoever owns stock rotation; late-order alerts belong with the shift lead. Yes. NextStock can send clients receipt emails when their stock arrives and dispatch emails when their orders ship. That covers the most common status questions a 3PL gets. A self-service client portal with live reports is planned but not available yet.
Can I build my own custom reports?
NextStock includes set KPI reports, saved views and bounded CSV downloads rather than a free-form report builder. For analysis beyond that, pull data through the REST API or export CSV files into your BI tool or spreadsheet. The ledger behind the numbers means any figure can be traced back to the movements that produced it.
